Responsibilities:
- Manage day-to-day administrative operations, including overseeing office supplies, equipment, and facilities.
- Coordinate meetings, appointments, and travel arrangements for management and staff.
- Assist in preparing reports, presentations, and other documentation as needed.
- Handle correspondence, emails, and phone calls, directing them to the appropriate staff members.
- Maintain office records, databases, and filing systems in an organized manner.
- Assist in HR-related tasks such as onboarding new employees, maintaining personnel records, and coordinating training sessions.
- Liaise with vendors, suppliers, and service providers to ensure smooth office operations.
- Collaborate with different departments to facilitate effective communication and support cross-functional activities.
- Assist in budget preparation and monitoring of office expenses.
Requirements:
- Proven experience as an Administrative Officer, Administrative Assistant, or in a similar role.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and office management software.
- Strong organizational and multitasking skills with the ability to prioritize tasks.
- Excellent verbal and written communication skills.
- Attention to detail and problem-solving abilities.
- Ability to handle confidential information with discretion.
- Bachelor’s degree in Business Administration or related field preferred.
Tasks
- Establish work priorities and ensure procedures are followed and deadlines are met
- Carry out administrative activities of establishment
- Administer policies and procedures related to the release of records in processing requests under government access to information and privacy legislation
- Co-ordinate and plan for office services such as accommodation, relocation, equipment, supplies, forms, disposal of assets, parking, maintenance and security services
- Assist in the preparation of operating budget and maintain inventory and budgetary controls
- Assemble data and prepare periodic and special reports, manuals and correspondence
- Oversee and co-ordinate office administrative procedures
